The service

proposalonce is a software service operated by Black Sheep Digital Ltd (Company No. 16989285), registered in England and Wales, with registered address at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.

proposalonce.com lets you create, send, and track one-page proposals at unique, unguessable URLs. Each proposal records open, accept, and decline events with timestamp and IP address for a verifiable audit trail.

proposalonce does not validate the content of your proposals (titles, scope, pricing, recipient details). You are responsible for the accuracy, lawfulness, and enforceability of the content you send.

Accounts

Sign-in to proposalonce uses passwordless, magic-link authentication. You are responsible for keeping access to your email account secure.

Acceptable use

You agree not to use proposalonce for:

• Sending illegal, fraudulent, or misleading proposals
• Distributing malware, phishing links, or scam payloads
• Harassing or impersonating others
• Any activity that violates applicable law

We reserve the right to remove content or restrict access if these terms are violated.

Content ownership

You own the proposal content you create and the logos you upload. proposalonce processes them only to render your proposal pages and the associated audit trail.

We do not analyse or repurpose your proposal content or uploaded logos.

Recipient pages and audit trail

Proposal pages are hosted at unique URLs you share with recipients. By using the service you acknowledge that we will record open, accept, and decline events along with the recipient's IP address and timestamp, and surface these to you in your dashboard. Recipients are informed on the proposal page that decisions are IP-stamped.

Availability

We aim to keep proposalonce available and reliable, but we cannot guarantee uninterrupted service.

Maintenance windows and occasional downtime may occur. We'll make reasonable efforts to minimise disruptions. Proposals already accepted or declined remain valid as records of agreement regardless of subsequent service availability.

Pay-once pricing

proposalonce is offered on a pay-once basis. Paid plans are one-time purchases — there is no subscription and no recurring billing.

Credits purchased never expire and remain on your account until used. Each credit unlocks a single watermark-free proposal send.

When you purchase a plan, you agree to the pricing and billing terms displayed at checkout. Payments are processed securely through Stripe. We do not store your payment card details.

Refunds

Refunds are handled on a case-by-case basis. If you believe a charge was made in error, contact us within 14 days.

Limitation of liability

proposalonce is provided "as is." To the fullest extent permitted by law, we are not liable for indirect, incidental, or consequential damages arising from your use of the service, including but not limited to disputes between you and your proposal recipients.

Our total liability is limited to the amount you paid for the service in the 12 months preceding the claim.

Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of proposalonce shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Changes to these terms

We may update these terms from time to time. Changes will be posted on this page. Continued use of the service after changes constitutes acceptance.
